ADMINISTRATION

  • Operation of a current account and / or savings account with a Bank, including a Trust Account in terms of Section 32 of the Estate Agents Act, on behalf of the body corporate.
  • Assisting the Board of Trustees in the determination of replacement values of improvements for insurance purposes and  arranging for valuations where required.
  • Execute specific instructions from the Trustees Assisting and advising the Board of common property issues when so requested.
  • Negotiating on behalf of the Board of Trustees
  • The collection / receipt of ordinary monthly levies (if not with Propell).
  • Verification and payment of all accounts payable by the Body Corporate from available funds, subject to any restrictions imposed or directions given by the trustees.
  • Attending to the collection of arrear levies and the institution of legal action where necessary on instructions from the Trustees, subject to fees raised bythe Managing Agent per action (if not with Propell).
  • Attending to instructions emanating from the minutes of the Trustees meetings and reporting to the Chairperson.
  • The managing agent to attend one (1) meeting per quarter with the body corporate trustees. 
 

SECRETARIAL

  • Arranging and attending the Annual General Meeting. Taking minutes of the meeting, drafting and typing minutes and dispatching the minutes to all the members of the Body Corporate.
  • Typing and distributing notices and agendas to Trustees upon the Chairperson’s instruction.
  • Typing minutes of the Trustees meetings from notes to be provided by the Trustees and dispatching the minutes to all the Trustees.
  • Assisting and advising the Board of Trustees on procedural matters such as general meetings, special general meetings, quorums, proxies, resolutions, voting rights.
  • Attending to proxies, nominations, agendas, insurance schedules.
  • Preparing and dispatching notices and circulars.
  • Storage of records in accordance with generally accepted practice.
 

ACCOUNTING

  • The preparation of an annual estimate of income and expenditure for submission to the Board of Trustees and the Body Corporate for approval for the determination of the monthly levies.
  • Periodic review / analysis of the estimated income and expenditure vs actual income and expenditure.
  • Keeping full records of the administration including proper books of account in accordance with normal accounting principles.
  • Preparation of income and expenditure accounts for submission to the Trustees if required.
  • Arranging the annual audit with the auditor of the Body Corporate and on completion, submission of the audited statements to the Body Corporate.
 

INSURANCE

  • Negotiation of favourable premiums.
  • Organising of insurance coverage.
  • Support Trustees in determining of insurance values.
  • Submission and processing of insurance claims.
 

REPAIRS AND MAINTENANCE

  • Negotiating with independent contractors in co-operation with the trustees,
  • The Trustees will be co-operative with the collection and presentation of the quotations.
